Payment Services

1. Overview

The VoBot Developers offers secure and convenient payment options for all our digital services. This policy outlines the payment methods available, security measures, invoicing procedures, and how we handle payment-related issues. All payments are processed in compliance with Reserve Bank of India (RBI) guidelines and applicable Indian financial regulations.

2. Payment Methods

We accept payments through the following methods, all processed securely via Cashfree Payments:

  • UPI (Unified Payments Interface): Pay instantly using any UPI-enabled app (Google Pay, PhonePe, Paytm, BHIM, etc.). UPI payments are processed in real-time.
  • Debit Cards: Visa, Mastercard, and RuPay debit cards issued by Indian banks are accepted.
  • Credit Cards: Visa, Mastercard, American Express, and RuPay credit cards. EMI options may be available on select cards.
  • Net Banking: Direct payments from your bank account through net banking, supported for all major Indian banks.
  • Wallets: Select digital wallets supported by Cashfree may be used for payments.

3. Partial Payment Support

VoBot supports flexible partial payment options to make our services more accessible:

  • Advance Payment: Pay a portion of the total project cost (typically 30–50%) to initiate work. The exact advance amount is specified in your project quotation.
  • Milestone Payments: For larger projects, payments may be structured across multiple milestones (e.g., design approval, development completion, final delivery).
  • Balance Payment: The remaining amount is due upon project completion and before final delivery of all assets.
  • Custom Schedules: For enterprise or long-term engagements, custom payment schedules can be arranged upon request.

Payment schedules are outlined in your project proposal. Work on subsequent phases may be paused if milestone payments are not received on time.

4. Manual Payment Option

In addition to online payments through Cashfree, we offer manual payment options for clients who prefer direct transfers:

  • Bank Transfer (NEFT/RTGS/IMPS): Direct bank transfer to VoBot's business account. Bank details will be provided on your invoice.
  • UPI Direct Transfer: Transfer to our business UPI ID as mentioned on your invoice.

For manual payments, please share the transaction reference number or screenshot with our team at payments@thevobot.in for faster reconciliation. Manual payments may take 1–2 business days to be verified and reflected in your account.

5. Payment Security

We take payment security seriously:

  • PCI-DSS Compliance: All online payments are processed through Cashfree, which is PCI-DSS Level 1 certified — the highest level of payment security certification.
  • No Card Storage: VoBot does not store, process, or have access to your card numbers, CVV, UPI PIN, or net banking credentials. All sensitive payment data is handled exclusively by Cashfree.
  • Encryption: All payment transactions are encrypted using TLS 1.2+ (256-bit encryption) to protect data in transit.
  • 3D Secure: Card payments are authenticated through 3D Secure (OTP verification) as mandated by RBI for additional security.
  • Fraud Detection: Cashfree employs advanced fraud detection mechanisms to identify and prevent unauthorized transactions.
  • RBI Licensed: Cashfree is a licensed payment aggregator regulated by the Reserve Bank of India.

6. Currency

All transactions on the VoBot platform are conducted in Indian Rupees (INR) only. We do not currently accept payments in foreign currencies. Prices displayed on our website and in quotations are in INR. If you are an international client, your bank may apply foreign exchange conversion charges — these are borne by the client.

7. Invoice Generation

For every payment received, VoBot generates a professional invoice:

  • Proforma Invoice: Issued before payment to provide a breakdown of services, pricing, taxes, and payment terms.
  • Tax Invoice: A GST-compliant tax invoice is generated upon receipt of payment, including VoBot's GSTIN, HSN/SAC codes, and applicable tax breakdowns.
  • Delivery: Invoices are sent to your registered email address and are also accessible through your VoBot account dashboard.
  • Contents: Each invoice includes: service description, quantity, unit price, subtotal, GST amount (CGST + SGST or IGST as applicable), total amount, payment method, and transaction reference.

If you require specific billing information (company name, GSTIN, billing address) on your invoices, please provide these details at the time of order or update them in your account settings.

8. Failed Payments

If a payment fails during processing:

  • Retry: You may retry the payment immediately using the same or a different payment method.
  • Amount Debited but Order Not Confirmed: If money is debited from your account but the order is not confirmed, the amount will be automatically refunded by Cashfree within 5–7 business days. Contact your bank if the refund is not reflected within this period.
  • Technical Issues: If you experience persistent payment failures, contact us at payments@thevobot.in with your transaction details. We will investigate and assist with alternative payment arrangements.
  • Bank Declines: If your bank declines the transaction, please contact your bank directly to resolve any blocks or limits on your account.

9. Payment Disputes

If you believe a payment was processed incorrectly or have concerns about a transaction:

  1. Contact Us First: Email payments@thevobot.in with your order ID, transaction reference, and a description of the issue.
  2. Investigation: We will investigate the payment with Cashfree and provide a response within 5 business days.
  3. Resolution: Depending on the outcome, we will process a refund, adjustment, or provide clarification on the charge.
  4. Chargeback: If you file a chargeback with your bank without contacting us first, we may contest the chargeback with supporting documentation. We encourage you to contact us directly for faster resolution.

For unresolved payment disputes, you may escalate through our Grievance Redressal process.

10. Late Payments

Timely payments are essential for uninterrupted service delivery:

  • Invoices are due within the timeframe specified (typically 7 days from invoice date unless otherwise agreed).
  • A reminder will be sent for overdue payments at 7 and 14 days past the due date.
  • Work on active projects may be paused if payments are overdue by more than 14 days.
  • Persistent non-payment may result in the suspension of services and recovery action as permitted by law.
