Refunds & Cancellation Policy

1. Overview

At The VoBot Developers, we strive to deliver high-quality digital services that meet your expectations. We understand that circumstances may change, and this policy outlines the conditions under which refunds and cancellations are processed. We are committed to a fair and transparent process for all our clients.

2. Eligibility for Refunds

Refund eligibility depends on the stage of service delivery at the time of the cancellation request:

  • Before Work Commences: If you cancel an order before any work has begun, you are eligible for a full refund of the amount paid.
  • During Active Development: If cancellation is requested while work is in progress, a prorated refund will be issued based on the percentage of work not yet completed. The completed portion will be billed at the agreed rate.
  • After Delivery: Once final deliverables have been provided and accepted (or deemed accepted after the 14-day review period), refunds are generally not available.

3. Cancellation Before Work Starts

If you wish to cancel an order before any work has commenced:

  • Submit a cancellation request via email to support@thevobot.in or through your account dashboard.
  • A full refund of the amount paid will be processed within 7–14 business days.
  • Work is considered "commenced" once the project kickoff has occurred, initial designs or prototypes have been shared, or development tasks have been assigned.

4. Cancellation During Active Work

If you cancel an order while work is in progress:

  • VoBot will assess the percentage of work completed at the time of cancellation.
  • You will be billed for the completed work at the agreed project rate, and the remaining balance will be refunded.
  • Any deliverables completed up to the point of cancellation will be provided to you.
  • If the completed work exceeds the amount already paid (in the case of partial payments), the outstanding balance will become due.

Example: If you paid ₹20,000 as a partial payment on a ₹50,000 project and 40% of work (₹20,000 worth) has been completed, no refund is applicable as the payment covers the work done. If only 20% (₹10,000 worth) was completed, you would receive a refund of ₹10,000.

5. Non-Refundable Items

The following are not eligible for refunds:

  • Custom Work Already Delivered: Bespoke designs, custom code, or tailored solutions that have been delivered and accepted.
  • Third-Party Purchases: Domain registrations, hosting subscriptions, premium plugins, stock assets, or any third-party services purchased on your behalf.
  • Consultation Fees: Charges for consulting sessions, strategy meetings, or audit services that have been completed.
  • Rush/Priority Fees: Additional charges for expedited delivery timelines.
  • Services Used: Any service that has been fully rendered and utilized by the client.

6. Partial Payment Refunds

VoBot supports partial payment options where clients can pay a portion of the total fee upfront. In the event of a refund:

  • Refund calculations are based on the total project cost and the percentage of work completed, not merely the amount of the partial payment.
  • If the completed work value exceeds your partial payment, no refund is due, and the remaining balance may be invoiced.
  • If the completed work value is less than your partial payment, the difference will be refunded.

7. Refund Processing Timeline

  • Approved refunds are processed within 7–14 business days from the date of approval.
  • Refunds are issued to the original payment method used for the transaction.
  • Bank processing times may vary. Credit card refunds may take an additional 5–7 business days to reflect in your statement. UPI refunds are typically faster (2–5 business days).
  • You will receive an email confirmation once the refund has been initiated from our end.

8. How to Request a Refund

To request a refund, please follow these steps:

  1. Email Us: Send a refund request to support@thevobot.in with your order ID, registered phone number, and reason for the refund.
  2. Review: Our team will review your request and assess the work completed within 3 business days.
  3. Decision: You will be notified of the refund decision via email, including the refund amount (if applicable) and expected timeline.
  4. Processing: Approved refunds are processed through Cashfree to your original payment method.

9. Disputes

If you disagree with a refund decision:

  • You may escalate the matter by contacting us at legal@thevobot.in with a detailed explanation.
  • Our team will conduct a thorough re-evaluation within 7 business days.
  • If the dispute remains unresolved, you may file a formal grievance through our Grievance Redressal process.
  • All disputes are subject to the governing law and dispute resolution mechanisms outlined in our Terms & Conditions.

10. Payment Processor

All payments and refunds are processed through Cashfree Payments, a RBI-licensed payment aggregator. Cashfree is PCI-DSS compliant and handles all transaction processing securely. VoBot does not store or have access to your sensitive payment credentials (card numbers, CVV, UPI PIN, etc.).
